WhatsApp rent reminders that actually get paid (without souring the relationship)

Timing, tone and wording for rent reminders on WhatsApp — the three-message sequence SA landlords use, with templates you can copy, and the line between a reminder and harassment.

Most South African tenants pay by EFT, most landlords chase by WhatsApp, and most arrears are not refusals — they are salary-date mismatches, a forgotten debit order, or a payment that went to the wrong reference. The reminder's job is to make paying easy and to keep a record. Here is the sequence that works.

Message 1 — the day before rent is due (friendly, factual)

Hi Thabo, quick reminder that September's rent of R8 500 is due tomorrow, 1 September. Bank details are on the invoice. Please use reference BAY-3A so it matches automatically. Thanks — Alex

No pressure, no exclamation marks. The point is the reference: a mismatched reference is the single biggest cause of "I paid but you say I didn't".

Message 2 — three to five days late (firm, still warm)

Hi Thabo, I haven't seen September's rent of R8 500 come through yet. If it's on its way, could you send the proof of payment? If something has changed, let me know today so we can sort it out. Alex

Ask for the POP: it either surfaces the payment or surfaces the problem.

Message 3 — ten to fourteen days late (formal, in writing)

This one is a letter that happens to arrive on WhatsApp:

Thabo, September's rent of R8 500 is now 14 days overdue and no arrangement has been made. Please pay in full by Friday 18 September, or reply with a written proposal. If neither happens I will have to proceed in terms of the lease. — Alex

From here, the lease governs what a breach notice looks like and how long the tenant has to remedy it. PropKeep's Notices screen cites the relevant statutory reference and takes the remedy period from your lease.

What not to do

  • Don't message at 22:00, don't message daily, and don't message the tenant's employer or family. That is the line between a reminder and harassment.
  • Don't threaten what you cannot lawfully do (disconnecting services, changing locks).
  • Don't negotiate a payment plan verbally. Confirm it in one message and keep it.

Where PropKeep helps

Money → This Month shows who is unpaid. Smart Reminders drafts a personalised message per tenant; you read it, tap, and your own WhatsApp opens with the text ready — PropKeep never sends on your behalf, and every draft and "marked as sent" is recorded on the tenant's collections case. Ask Remi "who owes rent this month?" and it lists them with the amounts.
